What is ATS Sync?
ATS Sync allows recruiters to seamlessly download a candidate's information directly into their Applicant Tracking System (ATS) from the Vivian platform. This feature streamlines the workflow by minimizing manual data entry and keeping candidate records up to date.
When Does ATS Sync Work?
ATS Sync becomes active only when there is an active application and active conversation — meaning the candidate has applied to a job directly. Once an application is submitted, the recruiter's system can sync and download the candidate's information.
When Does ATS Sync Not Work?
ATS Sync will not function if a recruiter sends a job proposal and the candidate rejects it. Because the candidate never submitted an application, the sync cannot be triggered and their information will not be available for download into the ATS.
Summary:
- ✅ ATS Sync works when a candidate applies and the recruiter has an active conversation with them for a job.
- ❌ ATS Sync does not work when a proposal is rejected and no application has been submitted.
How to Use the ATS Sync Button
Step 1 — Open the conversation
Click on the candidate conversation you want to sync.
Step 2 — Go to the Details panel
On the right-hand side, locate the Details panel. You will see tabs for Job, Packet, Profile, and Tools.
Step 3 — Select "Profile"
Click the Profile tab to open the candidate's profile view.
Step 4 — Click the ATS Sync button
You will see the ATS Sync button in green. Click it to trigger the sync.
Troubleshooting — Button is greyed out?
This means one or both of the following conditions are not met:
- The candidate does not have an active job application (they need to apply first).
- You have not had an active conversation with the candidate.
Both conditions must be met for the ATS Sync button to be clickable.
Sync timing: ATS syncs typically appear within 10 minutes, but may take up to an hour to show up in your ATS.
